MISSION KILIMANJARO

Kilimanjaro Expedition – February 2027

These terms and conditions apply to all reservations for a Kilimanjaro expedition organized by Tropicalex, in collaboration with Miles to Smiles, the partner responsible for the administrative and legal management of the expedition.

Registration implies full and unconditional acceptance of these terms and conditions.

1. Price of the expedition

The total price of the expedition is set at €2,390 per participant, unless otherwise specified in writing.

2. Reservation and deposit

To confirm registration, participants must pay a deposit equal to 20% of the total price, or €478.

The reservation is not considered final until this deposit is received.

The deposit is non-refundable, except in the cases expressly provided for in Article 6 of these terms and conditions or in the event of cancellation of the expedition by the organizer.

3. Balance due

The remaining balance, €1,912, must be paid in full no later than December 1, 2026, which is two months before the expedition’s scheduled start date of February 1, 2027.

If payment is not received by this date, Tropicalex reserves the right to: ​

• To cancel the participant's reservation
• retain the deposit paid;
• assign the spot to another person.

4. Cancellation by the participant

All cancellation requests must be submitted in writing.

Any refunds will be calculated based on the total cost of the expedition, according to the following terms:

• more than 2 months before departure: 100% refund of all amounts paid, excluding the non-refundable deposit;
• between 2 months and 1 month before departure: 50% refund of the total price;
• between 1 month and 2 weeks before departure: 25% refund of the total price;
• less than 14 days before departure: no refund.

Bank fees, payment processing fees, or expenses already incurred for the organization may be deducted from the refunded amounts where applicable.

5. Exceptional circumstances

In exceptional cases, Tropicalex may grant an additional refund if the participant is faced with a major, unforeseeable event beyond their control.

These situations include, but are not limited to:

• the death of a close family member (spouse, child, parent, brother, or sister);
• a serious illness or injury that makes participation in the expedition medically impossible.

All requests must be accompanied by official supporting documents, including:

• a detailed medical certificate issued by a licensed physician, clearly attesting to the inability to travel and participate in a high-altitude expedition;
• or any official document substantiating the event cited.

A minor ailment, temporary discomfort, a simple cold, a mild illness, physical discomfort, or any situation that does not objectively prevent participation will not qualify for an exceptional refund.

Tropicalex reserves the right to request any additional documentation necessary to evaluate the request.

6. Cancelation by Tropicalex

In the event that Tropicalex cancels the expedition for reasons directly attributable to it, the amounts paid by the participants will be refunded in full.

Tropicalex cannot be held liable for expenses incurred with third parties, including airline tickets, insurance, hotels, visas, or any other services booked independently of the expedition.

In the event of force majeure (natural disaster, war, pandemic, administrative closure, government decision, civil unrest, major weather events, or any circumstance beyond Tropicalex’s control), the organizer may propose a postponement or another suitable solution, without any additional compensation being claimable.

7. Insurance

Each participant is required to have travel insurance covering at least:

• medical expenses abroad;
• mountain rescue and evacuation;
• repatriation;
• trip cancellation.

The participant remains solely responsible for purchasing this insurance.

8. Physical fitness

The participant acknowledges that climbing Kilimanjaro is a demanding high-altitude activity.

The participant agrees to:

• be in adequate physical condition;
• report any medical issues that could affect their safety or that of the group;
• comply with the lead guide’s decisions regarding their safety.

Decisions made for medical or safety reasons are final.

9. Liability waiver

Each participant must sign a separate liability waiver before departure.

This waiver will specifically state that:

• the participant is taking part in the expedition voluntarily;
• he or she is aware of the risks inherent in a high-altitude expedition, particularly those related to altitude, weather conditions, rugged terrain, and physical exertion;
• he or she agrees to follow the safety instructions provided by Tropicalex, Miles to Smiles, the guides, and the local team.

Refusal to sign this waiver will result in cancellation of participation without a refund.

10. Contractual value

The invoice issued by Tropicalex, accompanied by proof of payment, constitutes proof of reservation and forms an integral part of the contractual relationship between the parties.

By making payment of the deposit or the balance, the participant acknowledges having read these general terms and conditions and accepts them without reservation.

11. Applicable law

These general terms and conditions shall be interpreted in accordance with the applicable law determined by Miles to Smiles in the context of the administrative and legal management of the expedition.

Any dispute shall be resolved in accordance with the applicable legal provisions and the competent jurisdiction specified in the main contract.
